What is an AI BDC? How it works, and when you still need people

Last updated October 18, 2026

An AI BDC is a business development center with an agent on the phone. It answers dealership calls, and in a hybrid it books the work it is allowed to book and hands the rest to people. The people are not a temporary phase. They are the desk the agent is supposed to serve.

The first distinction

BDC means business development center. At a dealership it is the group that handles inbound calls and follow-up so advisors and salespeople can stay with the guest in front of them. A service BDC leans on the drive: appointments, missed calls, status. A sales BDC leans on leads. An AI BDC puts software in that seat. The phrase is searched both as a product and as a definition, which is why a short answer has to come before a pitch. If you want the service-only primer, What is a service BDC? is the older page. This one is about the AI version and the people who remain.

Three shapes get sold under one name. An agent that replaces the team. An agent that only takes a message. A hybrid that takes the calls with a clear next step and leaves judgment to the coordinators you already hired. DealersThink builds the third. Riley is the service agent. Casey is the after-hours and overflow sales agent. The BDC desk is your staff, in the same product. Calling the third shape “virtual BDC” is fine if the virtual part does not quietly delete the human part.

AI, human, and hybrid

A human BDC knows the store. Coordinators learn which op code is real, which guest wants a named advisor, and which promise time is a fiction. They also go home. Coverage is the hours you pay for. Hiring the missing hours means more people, more turnover, and a Saturday rota nobody wanted.

An answering service covers the clock and writes a message. It does not know Xtime’s openings. An outsourced BDC covers the clock with someone else’s employees. Willowood, as one published example, describes a live US-based bilingual team working 24/7/365 with a sales-event focus. That is a real strength for a campaign. It is a different contract from “your coordinators see the call.”

A hybrid keeps the coordinators and adds an agent for the hours and the overflow they cannot personally cover. The test of a hybrid is the handoff. If the agent can pass a live caller to the desk, and if a call she could not finish shows up in a queue those coordinators already work, the people are still in the job. If the agent’s only output is a morning email to a shared inbox, you bought a message taker with better manners.

What it can do

On the service line, Riley can answer 24/7, in English and in Spanish at a store that turns Spanish on. She can book, move, and cancel in Xtime through a certified integration. She can read, through a certified CDK integration, the customer, the vehicles, and the repair-order history that caller lookup and BDC Customers use. She can hand the caller to your desk. On the sales line, Casey can answer after hours and overflow and talk about the vehicles on your nightly vAuto report, excluding wholesale. Leads leave as an ADF/XML email to the address the store set, a format eLead, VinSolutions, and DealerSocket read. That is a list of what the product does. It is not a list of what every AI BDC on the market does.

What it cannot do

It cannot honestly book a recall, a diagnostic, or an op code the scheduler rejects and then tell the guest they are on the schedule. It cannot know a DMS it is not connected to. DealersThink does not claim Reynolds, Tekion, or Dealertrack. It cannot be your service manager. Staffing, the upset guest, and the promise you make at the counter stay human. It cannot publish your answer rate for you. And it should not be bought as a way to empty the desk. If the proposal says the coordinators are optional, it is a replacement pitch wearing a hybrid label.

A setup checklist with no countdown

We do not publish a go-live time. The checklist is the work, not a number of days. Confirm the service appointment will be written, moved, and cancelled in Xtime, in your dealer’s menu, not in a side database. Confirm CDK history is the customer, the vehicle, and the repair orders your desk will see, and that the appointment is not also being written into CDK by us. Decide, store by store, whether Spanish is on. Set the sales lead address if Casey is in scope, and name who reads Leads to recover in the morning. Listen to a call the agent should book and a call she should refuse. Then staff the desk for the refused ones. The last step is the one replacement pitches skip, and it is the one that makes the hybrid true.

Pricing depends on rooftops and products. It is not a line on this guide. Book a demo when the checklist is the conversation you want, and bring the people who will still be on the desk after the agent is live.

FAQ

Will an AI BDC replace my BDC agents?

No. The BDC desk is your team. Riley takes service calls, including overflow and the hours the store is closed, and hands a caller to a person when the call needs one. The people stay on the desk.

How does the handoff to my BDC or advisors work?

The BDC desk is your own staff, in the same product as Riley. When a caller asks for a person, or when Riley should not book the request, she hands the call to that desk. A request she could not finish is left in Leads to recover so a coordinator can call back.

AI vs an answering service vs an outsourced BDC: what is the difference?

An answering service takes a message. An outsourced BDC is another company’s agents working your calls. An in-house BDC is your own team, on the hours you staff. Riley books into Xtime and hands the call to your desk when a person is needed. The longer comparison is on the compare pages.

Are your integrations certified?

Yes. DealersThink has certified CDK and Xtime integrations. That certification was confirmed on October 17, 2026. The integration pages describe each one.

What does it cost?
