AI agent vs an in-house BDC

Facts verified October 2026. Tell us if anything changed. Last updated October 18, 2026.

An in-house BDC is your team, on your hours, with your store knowledge. DealersThink does not ask you to disband it. Riley takes overflow and the hours the store is closed, books Xtime, and hands the caller back to that desk. The cost model below is a worksheet you fill with your numbers. Ours are not in it.

What an in-house BDC is

There is no vendor to cite. An in-house BDC is coordinators you hire, a manager you trust, and the hours you choose to staff. They know which advisor hates a 7 a.m. wait, which op code is a lie, and which guest will ask for the same person by name. That knowledge is the reason to keep them. The limit is the shift. When the last coordinator goes home, the line is either voicemail, an answering service, or an agent.

Where an in-house team is strong

It is the strongest option for the upset guest, the warranty argument, the fleet account, and the advisor-request call. It is also the right owner of Leads to recover: the callbacks, the unfinished bookings, the sales voicemail. Software that hides those from the team is not a hybrid. It is a bypass. Your people should see the queue.

How DealersThink differs

The hybrid is the product. Riley answers service calls the team cannot, including 24/7 coverage, and writes Xtime when the menu allows. Certified CDK history is on the screen when the number matches, so the coordinator who takes the handoff is not starting blank. Spanish can be on at one store and off at another. Casey answers after-hours sales from your vAuto inventory and does not replace the showroom. We are live at a 16-rooftop dealer group. The name is not published. We do not claim the in-house team is the expensive mistake. We claim the closed hours are a hole the team cannot personally fill.

A worksheet with your inputs

Do this on paper. Do not use a number from a vendor, including us.

  1. Hours you do not staff. Write the nights, weekends, and lunch gaps when nobody is paid to answer the service line.
  2. Calls in those hours. Take them from your phone system for a recent normal week. Not a holiday week, unless that is the week you care about.
  3. What a booked hour is worth to you. Use a repair-order value from your own DMS. Leave it blank if you will not stand behind a figure.
  4. What a coordinator hour costs you. Wage, bennies, and the desk they sit at. Again, your number.
  5. The hybrid question. If Riley took only the unstaffed hours, and your team kept the staffed ones, which calls move, and which people you refuse to lose?

If step five is “none of the people,” you do not want this product. If step five is “the overnight oil changes, and Maria stays on the counter,” you do. Book a demo with the worksheet filled. We will not complete it for you with our stats, because we are not publishing those.

FAQ

Will an AI BDC replace my BDC agents?

No. The BDC desk is your team. Riley takes service calls, including overflow and the hours the store is closed, and hands a caller to a person when the call needs one. The people stay on the desk.

How does the handoff to my BDC or advisors work?

The BDC desk is your own staff, in the same product as Riley. When a caller asks for a person, or when Riley should not book the request, she hands the call to that desk. A request she could not finish is left in Leads to recover so a coordinator can call back.

Does it work after hours, on weekends, and on holidays?

Riley answers service calls 24/7, including nights and weekends, and when the store is closed. Casey answers after-hours sales calls and sales calls when the sales desk is already on another call. The store’s own desk takes the calls that need a person during the hours the store staffs it.

What does it cost?
