AI service scheduler with certified Xtime and CDK integrations

Last updated October 18, 2026

Riley is an AI service scheduler for dealerships. It answers the service line 24/7, in English and Spanish, and books, moves, and cancels the appointment in Xtime through a certified Xtime integration. Customer, vehicle, and repair-order history come from a certified CDK integration, so the desk can see who is calling before anyone says hello.

Who this is for

This page is for a fixed-ops director or a service manager who already runs Xtime and CDK and is comparing schedulers that claim to book the drive. The search is usually some mix of AI service appointment scheduling, an Xtime AI scheduler, an AI voice agent for Xtime, CDK AI scheduling, or service scheduling AI. The buying question under those phrases is narrow: does the appointment land in the scheduler the advisors already trust, or does a person retype a message in the morning?

Riley is the service product. It is not a generic receptionist and it is not the sales agent. Casey covers after-hours sales from your vAuto inventory, on a different line. The BDC desk is where your coordinators take the call that needs a person. All three sit in one product, so the scheduler and the handoff are not two vendors taped together.

How it works

  1. Riley answers the service line. Service calls are answered 24/7, in English, and in Spanish at a store that has turned Spanish on. The caller can ask for a person at any point.
  2. The opening is an opening Xtime has. Riley offers times from Xtime and writes the appointment there. She can also move or cancel an appointment that is already in Xtime. Xtime stays the system of record for anything booked.
  3. The desk keeps the calls she should not book. A recall, a diagnostic, or an op code the scheduler will not take is not announced as booked. The caller goes to your BDC desk, or Riley takes a number so a coordinator can confirm.

What the scheduler is, and is not

An AI service scheduler is only as useful as the menu it is allowed to book. Xtime holds the store’s op codes, the capacity on each one, and the openings a guest can actually have. Riley does not invent a time, and she does not tell a caller the team “has them down” when the scheduler did not accept the job. If the store expects the appointment to exist in Xtime, a booking that never reached Xtime is not a booking.

CDK plays a different role. The certified CDK integration reads customer, vehicle, and repair-order history. Caller lookup turns the ringing number into who is calling, which vehicles are on those repair orders, and what was done on earlier visits. BDC Customers searches that same history by name, phone, or vehicle. Advisors use it as context. It is not a second place the appointment is written. Riley does not push the appointment into CDK.

That split is the thing to test on a demo. Ask to hear a routine maintenance request booked, moved, and cancelled in your Xtime. Then ask what Riley does with a recall and with a noise the guest cannot name. Both answers should be visible in the scheduler or on the desk, not only in a transcript.

A service call, step by step

A guest calls the service number after the drive has closed. Riley answers. If this store has Spanish on and the caller asks for Spanish, the call continues in Spanish. If Spanish is off, she stays in English and hands a Spanish-speaking caller to a person. She looks up the number against the store’s CDK repair-order history. When the history matches, the desk can see the customer, the vehicles, and the earlier visits. She asks what the guest needs and offers an opening Xtime has for that work.

If the guest wants an oil change the menu can book, she writes it in Xtime and reads the time back. If the guest then asks to add a check-engine light, a recall letter, or anything else the op code will not carry, she does not staple it onto the appointment and call it done. That part goes to the desk. If the guest already has an appointment and needs a different day, she moves it in Xtime. If they need to cancel, she cancels it there.

Nothing on this page is a promise about how many calls a store misses, how fast the first word arrives, or what a repair order is worth. Those numbers belong to your phone system and your DMS. Pricing is not listed here. It depends on rooftops and products, and it starts with a demo.

What it connects to

Certified CDK and Xtime integrations · vAuto inventory (Casey). Riley books, moves, and cancels in Xtime. The CDK integration reads customer, vehicle, and repair-order history for caller lookup and for BDC Customers. Casey works from your vAuto inventory on after-hours and overflow sales calls. vAuto is not described as a certified integration. The same three are summarized on Integrations.

Sample call

Until that recording is ready, the path is the one above: Riley answers, offers an opening Xtime actually has, writes the appointment in Xtime, and hands the caller to your desk when the request should not be booked on the call.

Human handoff

The BDC desk is your staff, in the same product as Riley and Casey. A caller who asks for a person is handed to that desk. A recall, a diagnostic, or an op code Xtime will not take is not announced as booked. The call goes to the desk, or Riley takes a number for a coordinator to confirm. Anything she could not finish waits in Leads to recover.

FAQ

Does it book directly into Xtime, or just take a message?

Riley books, moves, and cancels appointments in Xtime through a certified Xtime integration. The appointment is written in Xtime. It is not left as a message for someone to type in later.

Does it work with CDK?

Yes. DealersThink has a certified CDK integration. It reads customer, vehicle, and repair-order history from CDK. When a service call comes in, caller lookup uses that history to show who is calling, which vehicles are on those repair orders, and what was done. BDC Customers searches the same history by name, phone, or vehicle. Riley books the appointment in Xtime. The CDK read does not write the appointment into CDK.

Are your integrations certified?

Yes. DealersThink has certified CDK and Xtime integrations. That certification was confirmed on October 17, 2026. The integration pages describe each one.

What happens when Riley cannot book a request, such as the wrong op code, a recall, or a diagnostic?

Riley books the services the store’s Xtime menu can accept. A recall, a diagnostic, or an op code the scheduler will not take is not told to the caller as a booked appointment. Riley hands the call to a person on the BDC desk, or takes a number so a coordinator can call back and confirm.

Can it move or cancel an existing appointment?

Yes. Riley can move or cancel an appointment that is already in Xtime, on the same certified integration it uses to book.

What does it cost?

Pricing depends on rooftops and products. Book a demo. This page does not list a price.
